Description

Requirements:

Bachelors degree in Business Administration, Project Management, Psychology, Health Admin, HR, Finance

Basic knowledge of working with Excel spreadsheets, PDF’s, and working in a non-profit, grant-funded organization

Preferred work experience in customer service environment

Two years experience using PC with various MS applications - MS suite: specifically MS Word, Powerpoint, Adobe Pro (with editing and creating forms capabilities), Excel, Outlook - Very comfortable using desktop/laptop Proficiency in self-time management and organization __ - Take the initiative to organize and plan work day, week, and forecast for organizing projects based on job duties - Proficient in utilizing basic project management skills to assist the VP, AVP and other staff with various support operations activities - Refer to items previous sections for specifics - Ability to effectively plan, supervise, coordinate, and evaluate TLI business functions related to the position - Ability to work as a member of a team - Ability to work well under pressure and meet multiple and sometimes conflicting deadlines - Ability to interact in an appropriate and professional manner - Demonstrated cooperative behavior and positive problem-solving and conflict-resolution skills - Available to work dependably

Responsibilities: - Coordinating, overseeing, and managing multiple tasks and deadlines with the Support Operations Department. - Works closely with the VP of Facilities and Support Operations regarding risk management, space management, special projects, and backup support for document management services, freezer farm management, and asset management - Ability to prioritize daily, weekly, and monthly department projects as well as respond to emails and utilize other forms of communications by responding to internal/external clients within a timely manner: - Manages PO renewals for Support Operations, retrieves department mail, maintains incoming certificate of insurance documents, processes certificate requests from other departments, and assists and initiates and finalizes supply orders; and other duties as assigned - Primary administrator of Office Space application and support to the Facilities Department to manage the configuration of the Prism application and other special projects. May be responsible for performing company database or system administration tasks, including data input, reporting, user support, and upgrades. - Addresses routine day-to-day problems or coordinates with stakeholders to obtain solutions. - Maintains data in space management and facilities management systems. Learn to use SSRS or the Finance reporting tools - Works closely with the VP of Facilities and Support Operations to review and update each department’s SOPs annually - Conducts space audits bi-annually, reviews data with the VP of F&SO;, and updates the space application as needed
