Required Skills & Qualifications:
· Bachelor’s degree in Communications, Business Administration or a related field of study or equivalent work experience.
· Minimum of 1-2 years work experience in a comparable administrative role in an academic, research or medical center office environment
· Previous experience with Student Affairs administration and student affairs database management
· Excellent communication skills, both written and oral, required. Strong interpersonal skills required.
· Proficiency with Microsoft Office Suite (Word, Excel, Power Point, Outlook) required
· Ability to work well with different types of individuals at various levels from high school students to executives
· Excellent customer service.
Description of Duties:
Summary : The Public Affairs Programs and Education Assistant provides support and assistance to The Lundquist Institute’s (“TLI”) Education initiatives housed within the Division of Public Affairs: PhD Graduate Program; Summer Fellows; and Lundquist Little Einsteins as well as internship programming and CIRM scholars program. Reporting to the Sr. VP for Public Affairs, this position focuses on administrating TLI student services, coordinating education events, coordinating student needs, documenting events, maintaining files and data, and attending to other departmental needs as they arise.
● Assists in the coordination, implementation and operation of TLI programs, participates in the development of programmatic activities.
· Keeps abreast of all reporting requirements for the programs; works with the appropriate staff to ensure that all deadlines are met on a timely basis.
· Processes paperwork and documentation related to program activities.
· Maintains calendar for all education programs.
· . Works in Salesforce to process student services programming.
· Creates and maintains databases of information related to programs; enters new data and edits existing information in program database; extracts information from the database to create spreadsheets and to generate a variety of reports.
· Disseminates information to programs and to appropriate TLI internal offices.
· Keeps educational administrative direction apprised of program activities and developments.
· Maintains a focus on high quality customer service.
